Overview

FortressYard turns scale tickets into branded invoices and mirrors them straight into QuickBooks Online — both directions. Customers, invoices, payments, and items stay in lockstep, sales tax is calculated by QuickBooks' own engine, and every record carries a “synced” badge so you always know the source of truth. You run the yard in FortressYard; your bookkeeper keeps working in QuickBooks exactly as they do today.

Best for
Owner-run aggregate, recycling, and materials yards that keep their books in QuickBooks Online and want to stop double-entering invoices and payments.

Connects via Intuit's official OAuth 2.0 flow. FortressYard is built against the QuickBooks Online API; tokens are encrypted and a webhook keeps records current.
Why FortressYard + QuickBooks Online?

The field and the books, finally in sync

No more double entry

Every invoice you create in FortressYard appears in QuickBooks Online automatically — the office stops re-keying the scale house after dark.

One set of numbers

Customers, invoices, and balances stay matched, so the yard and QuickBooks Online never disagree about what shipped or what's owed.

Your books stay home

QuickBooks Online remains your system of record. FortressYard meets it through its own API, so your accountant's workflow doesn't change.

Operations never block

If QuickBooks Online is briefly unreachable, invoices still post in FortressYard and the sync retries — the scale house keeps weighing trucks.

How it works

Connect once, then forget it

1Connect

Authorize FortressYard from the QuickBooks app store in one OAuth click — no API keys to copy, tokens are encrypted at rest.

2Map

Match your QuickBooks customers, items, and income accounts to FortressYard once. New customers you create in FortressYard are pushed automatically.

3Invoice

A scale ticket becomes an invoice in FortressYard and appears in QuickBooks within seconds — deduplicated, so a ticket is never billed twice.

4Reconcile

Payments recorded in QuickBooks flow back as “Paid”, and balances stay matched without anyone reconciling by hand.

FAQ

QuickBooks Online integration questions

Do I have to leave QuickBooks?
No. QuickBooks stays your system of record for accounting. FortressYard handles yard operations and keeps customers, invoices, and payments mirrored both ways, so your bookkeeper never changes their workflow.
How is sales tax handled?
FortressYard defers to QuickBooks' Automated Sales Tax engine, so tax is calculated by the same authority your accountant already trusts — there's no second tax setup to maintain.
Will a scale ticket ever get billed twice?
No. Each invoice push is idempotent — FortressYard claims and deduplicates before writing to QuickBooks, so retries and reconnects never create a duplicate invoice.
Does it sync accounts payable too?
Yes. Carrier and vendor bills captured in FortressYard's Payables module can be pushed to QuickBooks as bills, with payment status reflected back.
What happens if QuickBooks is briefly unavailable?
Operations never block on accounting. Invoices are created in FortressYard immediately and the sync retries automatically — the scale house and dispatch keep running.
